SMALL DOLLAR ENTRIES

In an effort to reduce the number of manual journal entries, individual entries less than $100.00 will not be processed.  This $ value is subject to review on a regular basis.  Examples of small dollar entries include fax charges, telephone, postage and photocopying.  The following suggestions are provided to those departments that find it necessary to pass on small dollar charges:

  1. Small dollar entries can be accumulated and submitted less frequently, quarterly, once per term, etc.
  2. Flat fees for services can be charged out instead of per usage.  An example could be an annual rate for photocopying charged to another department/account instead of  tracking number of pages used.  Some restrictions may apply to research accounts.
Small dollar corrections that result from corporate entries will not be processed i.e. freight charges.  It is acceptable for departments to absorb small dollar charges that belong to another department but were charged in error.

These guidelines apply to internal transfers only.  Transactions with companies and individual outside of the university must be processed regardless of amount.
