Using scholarships (uWaterloo & external payable to University of Waterloo), awards, bursaries & GRS to pay your fees
- Scholarships, bursaries and awards indicated as Anticipated Aid on your Quest account will not be deducted from your account balance automatically. The registered status on your account must indicate "Fees Arranged".
- If you'd like to deduct the amount of scholarship funding you're going to be receiving during the term from the balance you have to pay the University of Waterloo (as indicated on your Quest student account), you MUST submit a Promissory Note along with proof of the financial aid.
- You need to do this even if the scholarships are already showing on your student account as Anticipated Aid.
- If you'd prefer not to submit a Promissory Note, you can simply pay the full amount of fees posted to your student account by the due date using one of our Payment Options.
- Scholarship and bursary amounts indicated as “Anticipated Aid” on undergraduate student Quest accounts will be applied to the student’s account balance during the second month of term, provided the student's registered status is "Fees Arranged."
Scholarships and awards indicated as “Anticipated Aid” on graduate student Quest accounts will be applied to the student’s account balance during the first week of classes, provided the student's registered status is "Fees Arranged."
- A print-out of your Quest account financial page qualifies as proof for any scholarships and bursaries which are indicated on your Quest account as “Anticipated Aid.”
- To use an external (non-WATERLOO) scholarship or award on your Promissory Note, the proof of scholarship must indicate that the funding is:
- for the current term
- payable to University of Waterloo
- for you
- Cheques representing Undergraduate external scholarships or bursaries which are payable to University of Waterloo should be sent to Student Awards & Financial Aid. Be sure your name and student ID number are on the cheque.
- Cheques representing Graduate external scholarships or bursaries which are payable to University of Waterloo should be sent to the Graduate Studies Office.
- Scholarships and awards payable to the student rather than to University of Waterloo, may not be used on a Promissory Note.
- Scholarships and awards from organizations outside Canada & the United States, may not be used on a Promissory Note.

Using provincial & federal student loans (eg. OSAP) to pay your fees
- If you wish to deduct Provincial Student Loan funding from the balance payable to the University of Waterloo as indicated on your Quest student account, you MUST submit a Promissory Note along with proof of the funding, by the due date, to avoid Late Fees.
- Government-funded student loans from outside of Canada & the United States, may not be used on a Promissory Note.
- A print-out of your Quest account financial page may be used as proof if your Provincial Student Loan funding is indicated on your Quest account as “Anticipated Aid.”
- A print-out of your Provincial Student Loan assessment from a Provincial Student Loan website may be submitted as proof of provincial student loan funding, provided the amount and the term(s) being funded are displayed. If the assessment is not available, an estimate from the Provincial Student Loan website is acceptable.
- For OSAP funding, you should use the Funding Summary page from the OSAP website, since the page must show clearly the amount of funding which is becoming available to you during the term for which you're registering. Funding from a prior term which you did not use during that term is not considered funding available for the current term. You should always be sure to pick up your student loan funding during the term in which it first becomes available to you, even if you do not need to use it all during that term.
- All provincial student loan funding which will be released to you during the term can be added together and placed on the OSAP line on the Promissory Note. If you're using an estimate which is for more than one term, 60% of the estimated funding can be used on the Promissory Note for the first academic term during the year, and 40% can be claimed on the Promissory Note during the second academic term that year.
- Submitting a Promissory Note with proof of provincial student loan funding allows you to defer payment of the portion of your fees equal to your student loan funding for the current term, until the loan proceeds are available to you.
- While most forms of financial aid provided for on the Promissory Note will be applied directly to your student account during the term, provincial student loan funding IS NOT. Once your registered status for the term is “Fees Arranged”, you'll need to make an appointment to pick up your provincial student loan funding using the booking program on the Student Awards & Financial Aid website. Once the loan documents have been processed, the loan proceeds will be deposited directly to your PERSONAL BANK ACCOUNT about seven days after you pick it up. You'll then need to make a payment using one of our Payment Options to pay the balance indicated on your student account.
- Although there's no specific due date for payments from provincial student loan funds, once provincial student loan documents have been negotiated and the funds have been deposited to your personal bank account, you're expected to make a payment immediately to pay the balance on your Quest account. If the balance on your student account remains outstanding 60 days after the due date, a hold will be applied to your student account, restricting your access to transcripts and to enrolling in future terms.

Using RA or TA income to pay your fees
- If you wish to use compensation you'll receive for Research or Teaching Assistantships towards the balance payable to the University of Waterloo as indicated on your Quest student account, you MUST submit a Promissory Note along with proof of the funding, by the due date to avoid Late Fees
- To use Research Assistantships or Teaching Assistantships towards your term fees, the balance on your account after deducting scholarships, awards & bursaries applicable for the current term must be greater than $100.00. If the balance will be less than $100.00, your Research Studentship, Research Assistantship or Teaching Assistantship cannot be assigned to pay your fees. Instead, you must make payment by certified cheque, money order, bank draft or bank payment for the remaining balance along with your Promissory Note and proof of award funding.
Approximately 6% of the value of the RA/TA funding (not RS) will be allocated for mandatory payroll deductions and will not be available for payment of your fees.
- Please note that the University cannot reimburse staff or faculty who choose to cover any fees posted to a student’s account, regardless of the reason. Departments wishing to provide financial assistance to students need to authorize an award through Student Awards & Financial Aid or offer payment via an RA- or TA-ship.

Claiming the Seniors bursary to cover your tuition
- The seniors bursary is available to students age 65 or older. You'll need to provide proof of date of birth with your Promissory Note to be eligible for the seniors bursary. A copy of your driver's licence, passport or birth certificate is appropriate proof of birth date.
- If you wish to deduct the amount of a seniors bursary from the balance payable to the University of Waterloo as indicated on your Quest student account, you MUST submit a Promissory Note along with proof of your age, by the due date to avoid Late Fees.
- The seniors bursary covers the amount charged for tuition only. You'll need to pay any incidental fees charged to your student account.
- The seniors bursary will be applied against your student account balance during the second month of term.

Claiming the Tuition Benefit
- The Tuition Benefit is available to uWaterloo employees and their children only.
- uWaterloo employees may claim the Tuition Benefit for a maximum of two courses (1.0 credit) per term.
- The Tuition Benefit applies to the charges for Tuition, Co-op Fee & Work Report Marking Fee only.
- If you want to deduct the amount of your Tuition Benefit from the amount you have to pay, your Tuition Benefit form must be submitted with a Promissory Note and proof of a completed payment for the fees not covered by the Tuition Benefit. The payment should be dated no later than the due date or it will be considered LATE.
- The completed Tuition Benefit form must be submitted with a Promissory Note. Tuition Benefit forms submitted without a Promissory Note will be discarded, unless the student’s account has already been paid in full.
- If you’d prefer to pay the student account balance in full, you don’t need to submit a Promissory Note to claim the Tuition Benefit; just submit the Tuition Benefit form by itself.
- Tuition Benefit amounts will be applied to student accounts during the second month of term, provided the student's registered status is "Fees Arranged."

Arranging your fees with a Third-Party Sponsorship
- To arrange your fees on the strength of a uWaterloo-approved Third-Party Sponsorship, you must submit a Promissory Note along with a letter from your sponsoring agency on their letterhead,

Being "registered" vs being "enrolled"
- Once your Promissory Note &/or payment has been received and processed, your Quest account Registered Status (in the top right-hand corner of the Financial Summary or Details page) will indicate “Fees Arranged.” You're not registered for the term until your Registered Status indicates “Fees Arranged”.
- The University of Waterloo bills students on a per-term basis. You must arrange your fees (submit payment &/or Promissory Note to fully cover the fees posted to your student account at the due date) each and every academic term.
- For information on how to use uWaterloo &/or external scholarships, bursaries, provincial student loans, Tuition Benefit, Research Studentships, Research Assistantships, Teaching Assistantships, Third Party sponsorships or Senior's Bursaries to pay your fees, please see above.
- Undergraduates: If your Registered Status on your student account for the current term isn't "Fees Arranged" by October 31 for Fall term, January 31 for Winter term or June 30 for Spring term, you'll need to submit a Petition to Register Late along with a Promissory Note &/or proof of a bank payment for any balance remaining on your student account plus the applicable Late Fee. Once we have verified that your account balance is covered in full, the Petition will be forwarded to the Registrar's Office for approval. you'll receive e-mail notification of their decision. If your Petition has been approved, we will register you for the term and post the Late Fee to your student account.
- Graduates: If your Registered Status on your student account for the current term isn't "Fees Arranged" by October 31 for Fall term, January 31 for Winter term or June 30 for Spring term, you'll need to submit a Promissory Note &/or proof of a bank payment for any balance remaining on your student account. Once we have verified that your account balance is covered in full, we will notify the Graduate Studies Office & request approval to process your late registration. If your late registrarion has been approved, we will register you for the term and post the Late Fee to your student account.
- Please check your Quest account frequently throughout the term so you're aware of any changes or potential problems.
