The University doesn't mail out invoices, receipts or statements of your student account. We send e-mails notifying students of fees posted to their student account prior to the start of each term; however, it is the student's responsibility to monitor the student account for updates which may result from changes to program, course load, residence, meal plan, financial aid or Late Fees.

You can view your student financial account on Quest approximately four or five weeks before classes begin for the term. Click on Finances>Account Inquiry; then, click the term for details of the charges to your account for a specific term.

- Your student fees are billed to your student account one term at a time. Student fees include: tuition and incidentals, and residence and meal plan, as applicable. The cost of textbooks, class notes, mandatory supplies, certain accommodation or other costs associated with field trips, or other miscellaneous expenses, isn't included in the fees charged to student accounts.
- Tuition fees for the current term are listed in the Undergraduate Fee Schedule and Graduate Fee Schedule. Incidental fees are explained at Undergraduate Incidental Fees and Graduate Incidental Fees.
- Outgoing Exchange students: you'll be assessed fees for a full course load (minimum 2.5 credits) for the term in which the exchange occurs at the rate for degree students for the Faculty in which you're enrolled at UW. You're required to pay all compulsory incidental fees.
- Incoming Exchange students: Tuition and other fees are payable at your home institution. You're required to enrol in the University Health Insurance Plan (UHIP) & the Supplementary Health Insurance and Dental Plans (included in the FedofStdnts-Administered Fees or GSA Administered Fees).

- To obtain a statement of your student account displaying the UW logo, please use the E-MAIL function on your student account. It's a yellow rectangular button at the bottom of your Quest Financial Details page.

Privacy of student account information
- Access to information on student accounts is restricted to approved University personnel and the student only. Your student account details cannot be discussed with your parents, spouse, other relatives, employers, landlords, associations or members of other educational institutions or agencies without your authorization.
- YOU are responsible for communicating student account information and fee payment instructions to anyone who requires that information in order to assist with payment of your fees.

Being "registered" vs being "enrolled"
- Once your Promissory Note &/or payment has been received and processed, your Quest account Registered Status (near the top of the Financial Details page) will indicate “Fees Arranged.” You're not registered for the term until your Registered Status indicates “Fees Arranged”.
- The University of Waterloo bills students on a per-term basis. You must arrange your fees (submit payment &/or Promissory Note to fully cover the fees posted to your student account at the due date) each and every academic term.
- For information on how to use uWaterloo &/or external scholarships, bursaries, provincial student loans, Tuition Benefit, Research Studentships, Research Assistantships, Teaching Assistantships, Third Party sponsorships or Senior's Bursaries to pay your fees, please see information on our website under Using Financial Aid .
- Undergraduates: If your Registered Status on your student account for the current term isn't "Fees Arranged" by October 31 for the Fall term, January 31 for the Winter term or June 30 for the Spring term, you'll need to submit a Petition to Register Late along with a Promissory Note &/or proof of a bank payment for any balance remaining on your student account plus the applicable Late Fee. Once we have verified that your account balance is covered in full, the Petition will be forwarded to the Registrar's Office for approval. You'll receive e-mail notification of their decision. If your Petition has been approved, we'll register you for the term and post the Late Fee to your student account.
- Graduates: If your Registered Status on your student account for the current term isn't "Fees Arranged" by October 31 for the Fall term, January 31 for the Winter term or June 30 for the Spring term, you'll need to submit a Promissory Note &/or proof of a bank payment for any balance remaining on your student account. Once we've verified that your account balance is covered in full, we'll notify the Graduate Studies Office & request approval to process your late registration. If your late registration has been approved, we'll register you for the term and post the Late Fee to your student account.
- Please check your Quest account frequently throughout the term so you're aware of any changes or potential problems.

Updates to your student account balance
- From the time term fees are first posted to student accounts (approximately one month prior to term) & during the first seven weeks of term, fees are recalculated each evening. Any changes made to your student account will be reflected within the following 24 hours.
- Please check your Quest account frequently throughout the term so you're aware of any changes or potential problems.
- If no fees are posted to your student account until after the due date for the term, you may pay your account balance within ten business days from the date the first fees are posted without incurring a Late Fee.
- If you make changes to your student account after the due date which result in a balance owing, we recommend that you pay the additional charges as soon as possible. Any updates resulting in a credit balance on your student account, will trigger a refund later in the term.

“HOLDS” on your student account
- If your Registered Status for the term is "Fees Arranged", but a balance remains outstanding on your student account at the end of the second month of term, a negative service indicator (a "hold") will automatically be applied to your student account. The hold will restrict your ability to obtain transcripts, view your grades and to enrol in courses.
- You'll need to provide proof of payment that fully cover the outstanding balance on your student account to have the hold removed. You can send proof of your bank payment to studentaccounts@uwaterloo.ca Please put "Hold" in the subject line of your e-mail. If you paid by online banking, a screenshot of your payment confirmation page or payment history is good proof. If you paid at your bank, we'll need a scanned copy of your printed receipt.
- Holds on student accounts for overdue Library fines, Parking fines, St Paul's Housing, Health Services, WatCard & fees charged in various faculty departments will also restrict your ability to view grades, obtain transcripts and to enrol. To settle these outstanding amounts & have these holds removed, you'll need to contact the specific area involved. We cannot remove holds placed by other departments.

Tax receipts (T2202A, T4A, T4)
- Receipts for Income Tax purposes - T2202A’s for 2009 and following are available online by February 28 each year under Finances on Quest.
- For information regarding T4's (tax receipts for income earned from University of Waterloo) and T4A's (tax receipts for scholarship, bursary and award funding) please contact Human Resources.
