Public Relations Plan for TRELLIS

Goal: The goal of the Public Relations Plan for TRELLIS is to ensure that the publics associated with the three university libraries are well informed of the new integrated library system.

A Public Relations (PR) group, comprised of a representative from each university library, was formed. The mandate of this group is to:

  1. Name and develop a look/logo for the system (Image Development)

  2. Create the public relations plan and oversee the implementation of the various strategies included in the plan (Communications)


Image Development

In November, 1997, a plan was developed and implemented by the PR group to find a name for the new automated library system. This plan involved consultation with library staff members, submissions of ideas from staff and PR members, a short listing of potential names and a final recommendation to the Chief Librarians. The PR group submitted, to the Chief Librarians, the proposed name of the new library system. TRELLIS was chosen as the name that would encompass all components of the system, including the OPAC.

A trellis is a lattice or grating used as a support for climbing plants. Our catalogue system will be a support to our students, faculty and staff. Also, a trellis draws images to growth, expansion, linkages and cooperation - all of these are words that describe what a library catalogue should do. Finally, the intertwining of plants climbing a trellis symbolizes the partnership of the TriUniveristy Group of Libraries (TUG).

After selection of the name, the PR group entered into discussions with various design companies in order to select a design firm to develop a logo for TRELLIS. The design firm would be hired to, not only develop a logo, but also to create a TRELLIS web page that would be used as an entry point into the OPAC module of the new automated library system. As well, the selected designer would be asked to create a TUG splash page that would include a link to the TRELLIS web page.

In December, 1997, Convivia Interaction Design was hired. Convivia was selected because they offer a service that includes design work based on solid usability principles.

Communications

The PR group has developed a communications strategy for each of the publics associated with the three university libraries. The publics are:
a. Library Staff
b. Faculty and Staff on Campus
c. Students
d. Academic Library Community
e. External: alumni, local community members, government agencies, and university friends and donors.

The next section outlines the communications strategy for each of the groups identified above. A timeline and proposed budget concludes this document.

Section A: Library Staff

Purpose: A communication plan has been developed for all library staff to ensure that they feel informed and involved. The plan will help create buy-in and generate enthusiasm for the new system. Well-informed staff members will ensure that our user groups and other publics receive correct information about TRELLIS.

Section B: Faculty and Staff on Campus

Purpose: Faculty and staff are one of our primary user groups. It is imperative that this group is informed about the new system including when and how their research/work will be effected. Also it is important to ensure that this group is made aware of the benefits the system will provide to not only themselves but also their students.

Section C: Students

Purpose: Undergraduate and graduate students constitute a majority of the libraries' user population. Therefore, it is imperative that students are made aware of the new system and the benefits they will derive from it. Also it is important to communicate that the system will continue to grow from what they see on Day One. Through our public relation efforts we can also ensure that our students know where they can get more information and training on how to use the system. The PR plan is intended to complement the User Education programs that are being developed.

Section D: Academic Library Community

Purpose: The TRELLIS project is a major initiative of the TriUniversity Group of Libraries. And most likely their most visible project to date. Many other academic libraries and colleagues are watching the progress of this project with interest. It is important therefore to ensure that information about the TRELLIS project is communicated frequently and in various forms. We want to ensure that this project is a topic of discussion and interest within the academic library community.

Section E: External Community

Purpose: The external community includes alumni, local corporate and community members, government agencies, and friends and donors of the three universities.

The TRELLIS project is a tremendous financial and conceptual undertaking. The collaborative nature of the project is something that the three university presidents are enthusiastic about and eager to communicate. The uniqueness of this project in Canada is also something that the universities are proud of and want to share with our external community.
